Project Administrator / Project Coordinator

About the role

Manage contracts with quantity surveyors, consultants and contractors, including contract administration and vendor management. Prepare, issue and maintain contracts, purchase orders, NDAs, COIs and related project documentation. Ensure procurement processes comply with client policies and governance requirements, and raise purchase requisitions and process approvals through the client's procurement platform. Coordinate invoice processing, payment administration, accruals, retention tracking and monthly cost reporting, and maintain project costing templates and procurement cost trackers. Act as liaison between project managers, vendors and stakeholders on procurement and payment matters, and manage document control, contract lodgement and filing. Support sustainability reporting, project logistics, fixed asset tagging and inventory stock-taking when required.

Requirements

• Diploma or Degree in Business Administration, Procurement, Quantity Surveying, Project Management, Construction Management or related discipline
• Minimum 3-5 years of experience in procurement, contract administration, project coordination or construction/fit-out project administration
• Strong knowledge of procurement processes, contract management and financial administration
• Experience managing purchase orders, invoices, project costing and vendor payments
• Familiarity with procurement, contract management and document management systems
• Strong attention to detail with excellent organizational and document control skills
