About the role
Catapult by CapitaLand is an executive education and leadership development campus at Rochester Commons, bringing together corporates, learning providers and business leaders through programmes, offsites, conferences and corporate events. This hands-on, service-oriented role supports clients in delivering successful meetings and events, working with clients, vendors and internal teams from planning through on-site support and follow-up. It suits someone who enjoys engaging clients, juggling multiple projects and solving issues proactively.
What you'll do
Act as the main point of contact for assigned clients after booking confirmation
Coordinate client requirements and event needs from planning to completion
Conduct venue walkthroughs, planning meetings and pre-event briefings
Advise clients on venue capabilities, facilities, processes and service offerings
Document client requirements accurately and share them with stakeholders
Build positive client relationships and maintain high service standards
Anticipate client needs and resolve issues proactively
Support evening, weekend and public holiday event operations when required
Coordinate venue preparations and operational arrangements for client events
Liaise with internal teams and service partners on room setup, catering, AV, access, signage and logistics
Prepare event orders, operational briefs, schedules and run sheets
Ensure event spaces and facilities are ready and meet client requirements
Monitor event-day operations and coordinate prompt resolution of issues
Provide onsite support and act as key liaison throughout events
Maintain service delivery standards across all events and programmes
Coordinate guest arrivals, reception services and VIP arrangements
Attend to enquiries, requests and feedback promptly and professionally
Support collection of client and participant feedback after programmes and events
Identify opportunities to improve the client and guest experience
Work with Sales & Business Development and Marketing & Partnerships teams on client engagements
Coordinate with external vendors, service providers and contractors
Monitor vendor performance and escalate service issues
Support procurement, purchase requisitions and administrative processes
Maintain event schedules, client records and operational trackers
Prepare event documentation, reports and post-event summaries
Track client feedback, service recovery actions and improvement opportunities
Support invoicing, billing coordination and administrative follow-up
Keep records and databases updated accurately and on time
Support continuous improvement initiatives for operational efficiency and client satisfaction

Events may be scheduled outside normal business hours, including evenings, weekends and public holidays

Reports to the Director, Sales & Business Development
Requirements
Diploma or Bachelor's degree in Hospitality, Events Management, Business, Communications or a related discipline
1-3 years of experience in client service, hospitality, events, customer success or related roles
Proficient in Microsoft Office applications
Experience with CRM, event management or venue booking systems is advantageous
Strong organisational and coordination skills, able to manage multiple activities concurrently
Excellent interpersonal and communication skills
