About the role

You will oversee the daily running, upkeep and administration of a client site facility, keeping buildings, systems and services safe, functional and efficient. The role sits with a global real estate services firm and suits someone with a facilities or building management background who is comfortable managing vendors, budgets and on-site staff.

What you'll do

Run day-to-day facility operations covering janitorial, life-safety, engineering, site services and general maintenance in line with company policy and client instructions
Review contracts regularly, put them out to bid when needed, and check invoices against agreed contract pricing

Supervise interior and exterior maintenance programmes and property appearance

Respond quickly to occupant requests for repairs, maintenance and cleaning, and run ongoing contract programmes to resolve issues

Compile site documentation and reports accurately and on time, such as operating manuals, emergency procedures, compliance and safety logs, vendor insurance certificates, invoices and annual property performance reports

Prepare budgets, monthly and quarterly financial reports, contracts, expenditure records and purchase orders

Supply information for capital budgets, including input into a five-year maintenance, improvement and cost-reduction plan

Collect and analyse statistical data and prepare reports assessing facility management objectives

Maintain full understanding of the management contract, vendor agreements and other building contracts and their requirements

Monitor tenant and vendor insurance compliance and coordinate claims

Inspect the facility, systems, rooms and common areas proactively and report findings to the Facility Manager

Hire, train and motivate facility staff, maintain positive staff relations, and conduct or approve performance evaluations

Requirements

Degree in facilities management, building, business or a related field
At least 3 years of relevant experience, preferably in commercial or industrial real estate facility management
1 year of supervisory experience preferred
Experience in maintenance, construction, engineering and property operations preferred
CMMS or work order management experience preferred
CFM, IFMA or BOMA certification recommended; other engineering, business or technical training a plus
