About the role
This role supports clinical operations and the Specialist Outpatient Clinic (SOC) at JurongHealth Campus, a public healthcare group in the west of Singapore. You will handle statistical reporting, administrative coordination and purchasing support for the department. It suits someone with a healthcare or business administration background who is comfortable working with data and multiple stakeholders.
Prepare monthly OP Day Surgery statistical reports and clean the data
Compile monthly statistics for blue letters, direct access and similar items
Prepare monthly SOC attendance and no-show data
Produce the monthly SOC total turn-around time report covering wait time to consult
Produce the monthly SOC source of referral report
Compile utilisation commentaries
Compile monthly division reports and slides such as SOC KPI, lead time and no-show
Upload monthly data to the cluster dashboard, including clinic utilisation
Help the HOD prepare monthly SOC dashboard reports
Arrange ad-hoc operations admin tasks such as room bookings and meetings
Provide cross coverage for clinical operations and SOC admin support
Collect and despatch SOC daily mail to the mail room
Make sure daily no-show letters are printed and sent to the mail room
Source quotations and raise purchase requisitions for SOC central services
Help the Operations Head and Clinic Managers raise purchase requisitions and track Capex and Non-Capex purchases
Help the Operations Head raise ePay and eSundry requests
Maintain tidiness of stationery storage and care of equipment under 5S
Maintain the asset list for assigned clinics, including IT hardware, thumbdrives and medical and non-medical equipment
Support outreach events such as public talks when needed
Take on other assignments given by the reporting officer and department head

Requirements
Diploma in Healthcare Management, Health Services Administration, Business Administration, Public Health, Psychology, Social Sciences or a related discipline
Preferably 2 to 5 years of experience in healthcare operations, administration, project management or a related field
Strong analytical and problem-solving skills, able to interpret operational data and turn findings into actionable recommendations
Proficient in Microsoft Office, especially Excel and PowerPoint; dashboard tool experience is an advantage
Good project coordination and stakeholder management skills
Strong written and verbal communication skills
