About the role
This role supports the Assistant Building Manager with daily operations of a commercial property, acting as the main point of contact for tenants on fit-out applications, requests and feedback. It suits someone with property or building management experience who is organised, proactive and comfortable managing contractors and stakeholders.
What you'll do
Prepare weekly and monthly meeting documents and minutes
Organise social events and meetings
Handle day-to-day tenant requests and feedback
Help supervise soft services including cleaning, security, landscaping, pest control and carpark services
Manage fit-out, reinstatement and A&A works
Process new and renewal season parking applications
Administer building access cards for tenants, visitors and contractors
Review and recommend changes to operations procedures
Set standards for non-maintenance matters such as uniforms and workplace security
Review areas for cost-saving measures
Set up monitoring for repairs and replacements
Follow up on matters after meetings
Set inspection schedules for defects, cleanliness and term contract works
Liaise with the M&E Property Executive and tenants on M&E matters
Arrange handling of emergencies such as power failure, burst pipes and gas leaks
Update fit-out guides, tenant handbooks, SOPs and forms
Attend meetings with clients and contractors and record minutes
Submit documents to authorities such as BCA and URA
Keep records of warranties
Conduct daily checks on common areas and common property
Inspect term contractors' work
Recommend improvement, repair and upgrading works
Report on intrusions, irregularities and unsafe practices
Coordinate tenant move-ins and move-outs
Build relationships with co-workers, clients and tenants
Liaise with tenants on repairs and maintenance
Maintain the OMS system
Prepare monthly performance and variance reports
Prepare annual budgets and quarterly reforecasts
Manage accounts payable including invoice collection and approval

Full time position
Requirements
Degree in Building & Real Estate Management or equivalent with at least 3 years of experience, or diploma in the same field with at least 5 years of experience
Experience managing high-rise commercial buildings or mixed developments
Knowledge of operations, maintenance, fit-out practices and local ordinances
Experience formulating and implementing maintenance policies and procedures and managing capital works projects
Independent, proactive and resourceful with integrity
Managerial experience
