About the role
You will support the Facilities Manager in overseeing building operations at a client site in Bukit Panjang. The role involves supervising staff and contractors, coordinating maintenance works, and ensuring the building is well-managed and maintained. It suits someone with facilities or property management experience who is comfortable working across multiple sites and handling contractor coordination.
What you'll do
- Acknowledge work requests and update the CMMS with follow-up actions within required response times, closing cases once work is completed and verified.
- Assist in obtaining cost estimates for ad-hoc works, taking site measurements, keeping records, and submitting Request for Approval forms.
- Be stationed at the designated Community Centre, Club, or Building when not roving between sites.
- Coordinate and supervise term contractors, ensuring works follow schedules, quality standards, and contractual obligations.
- Evaluate and conduct joint measurements with contractors on claims for work orders.
- Verify and endorse service reports and invoices to ensure compliance with contract requirements.
- Respond to queries about ongoing work, property management, or operational concerns, escalating to the Property Manager when needed.
- Conduct building inspections twice a week for each Community Centre/Club/Building, submitting reports with photos via the Report and Run app and uploading to the CMMS inspection module.
- Conduct monthly audits if required and submit them to the term contractor with a copy to the Property Manager.
- Promote a culture of workplace safety among team members and contractors.
- Conduct customer satisfaction surveys twice a year.
- Prepare and compile information for site meetings such as CCMC and MA operations meetings, attend as required, and write minutes.
- Plan and coordinate license renewal activities such as Annual Shutdown and Water Tank Cleaning for each Community Centre/Club/Building, submitting ASD checklists to CMMS.
- Respond to on-site incidents, coordinating with the Community Centre and contractors to restore services and minimize disruptions.
