About the role
This role supports the day-to-day administration of short courses run under Continuing Education and Training at Nanyang Polytechnic's School of Design & Media. You will work with course teams and trainers to keep each course run accurate and running smoothly. It suits someone organised and detail-oriented who enjoys keeping operations on track and is keen to learn about CET administration and training funding.
What you'll do
Set up short courses and intakes in the STEP course management system following established procedures
Keep course, schedule and trainer records accurate, and manage the master course calendar and room bookings across runs
Process participant registration, onboarding and enrolment confirmation
Maintain participant data and supporting documents for compliance
Set up guest WiFi accounts for participants where needed
Administer attendance taking, tracking and certification for each course run
Compile attendance and completion reports for training funding and claim submissions
Coordinate refreshment ordering and venue readiness, liaising with vendors and preparing training rooms and equipment before each session
Confirm availability with trainers and associate trainers, and process associate trainer claims and timesheets
Respond to participant, trainer and public enquiries, including MySkillsFuture, escalating non-standard cases, and run post-course feedback surveys
Support course fee waiver requests by collating documents and routing them for approvals
Maintain course run documents and records in SharePoint

Requirements
Experience in administrative or operations support, ideally in a training, education or adult learning setting
Comfortable learning and using structured systems and procedures, and able to pick up new course administration platforms quickly
Strong organisational skills and able to manage attendance, records and scheduling accurately and on time
Attention to detail when maintaining participant data and supporting documents for compliance and funding requirements
Good communication skills to liaise with participants, trainers and vendors with tact and diplomacy
Collaborative and proactive, able to work within well-defined procedures while supporting smooth daily operations
