About the role
This role sits within a regional workplace experience team at a real estate services firm, where you will lead efforts to build open, collaborative relationships with clients through authentic workplace experiences. You will handle internal and external communication as well as event management alongside client leadership, blending work and life in a human-centred way. It suits someone with a strong hospitality or front-of-house background who enjoys organising events and engaging with many different stakeholders.
What you'll do
Create and run a fun, impactful client engagement strategy
Engage with guests, employees and key stakeholders
Embed a culture of empowerment, engagement and fulfilment within the facilities management team
Work with relevant parties on space management using data analytics
Develop client support and feedback initiatives such as FAQs
Build a community of ambassadors delivering authentic, caring and timely soft services
Lead internal communication strategies with client leadership to improve culture and employee engagement
Liaise with the firm's team and the client on soft service delivery
Share event and celebration content through internal monitors, blog posts, newsletters and other channels
Adopt innovative communication approaches
Champion monthly stakeholder meetings to strengthen relationships
Formulate a monthly and annual events calendar with an implementation plan
Build and maintain standard operating procedures
Organise event logistics including decor, catering, entertainment, transport, location, invitee lists, special guests, equipment and promotional material
Provide outstanding customer service and organise memorable events that exceed client expectations
Propose ideas to improve event and service quality
Handle events reporting and customer feedback surveys
Develop an easy-to-adopt event planning process
Coordinate event orders with clients, team and vendors
Develop and manage the vendor network
Help manage on-site contractors to ensure they meet required standards, including inspecting their work
Assist with procurement of consumables and services
Host monthly or quarterly vendor meetings and upload minutes, action plans and improvement plans
Support financial processes so requirements are completed accurately and on time
Handle purchase orders, invoices, work orders, track reports and submit monthly accruals to the Workplace Manager
Ensure finance KPI scores are met
Assist with the event risk management programme
Take part in disaster recovery and business continuity plans
Follow escalation and incident reporting procedures
Comply with the firm's business conduct guidelines, procedures and strategies
Achieve key performance indicators and service level agreement targets

Requirements
More than 5 years of event management or front-of-house experience in hospitality or real estate
A strong portfolio of previously managed events such as weddings, meetings, parties and corporate events
Excellent time management and communication skills
Sales skills and the ability to build productive business relationships
Able to manage multiple projects independently
Proficiency in MS Office
