About the role

You will join the receiving team at InterContinental Singapore Robertson Quay, handling incoming goods and keeping stock records accurate. The role suits someone who is organised, careful with details and comfortable coordinating with suppliers and other departments. You will work closely with the Procurement Manager, Department Heads and vendors to make sure deliveries match orders and reach the right places.

What you'll do

Coordinate and communicate with other departments on receiving matters and internal controls
Liaise with the Procurement Manager and Department Heads on purchasing issues
Handle enquiries from vendors, Department Heads and colleagues about receiving goods or services
Check that supplies match the purchase order and business needs
Maintain internal controls over requisitioning and issuing items, direct deliveries to the right departments or storage areas, and update records for payment or further processing
Keep all work areas clean and organised
Inspect supplies on arrival and report any rejection or defect to the supplier and procurement department
Acknowledge supplies to vendors once proper documents are received
Dispatch materials promptly to kitchens, departments and stores
Ensure the quality of materials received
Control expiry date items strictly
Record and document beverage store items in a timely manner
Implement the Control Self-Assessment (CSA) and aim for a 100% score in the Purchasing & Receiving category audit
Carry out related duties and special tasks assigned by the Manager of Finance & Business Support
Build and maintain positive relationships with internal customers and suppliers
Notify departments when materials arrive so items are cleared from the receiving area promptly
Check that incoming merchandise is undamaged, matches the invoice or delivery docket quantities, and meets IHG quality standards
Keep adequate records and set standard purchasing specifications
Assign products and resources to the correct department and bill them accordingly
Follow OH&S policies and procedures, conduct tasks safely, and adhere to occupational health and safety legislation
Be familiar with property safety, first aid, fire and emergency procedures, and operate equipment safely
Correct hazardous situations and inform supervisors of potential dangers
Log security incidents and accidents as required by the hotel
