About the role
This role sits with the Centre for Healthcare Innovation, providing administrative and secretariat support so the department's daily operations run smoothly. You will also give direct support to the Deputy Directors of the Grants & Innovation and Partnerships Offices, handling diaries, meetings, visits, events and claims. It suits an organised diploma holder with a few years of admin experience who enjoys juggling many tasks.
What you'll do
Handle general admin such as purchase requisitions and invoices through Ariba and ePay, IT job requests and Decisions requests
Set up and maintain shared drive folders and One Drive databases, manage access, and raise onboarding or offboarding requests for staff
Process staff claims
Coordinate office supplies, corporate gifts, consumables and name stamps

Collect, dispatch and distribute departmental mail
Track and maintain the department's equipment asset list, including laptops and secured hard disks
Conduct training on various platforms for the team when needed
Update department information on the staff directory system, Rooster
File department documents
Manage the repository of CHI corporate decks and call for regular refreshes
Arrange internal and external meetings, including scheduling, calendar invites and agendas
Provide meeting logistics: consolidating agendas and slides, booking rooms and virtual platforms, setting up rooms and AV equipment, and taking simple minutes
Support CHI learning platforms such as learning visits, roundtables and innovation programmes, working with project teams on event objectives
Coordinate schedules for learning platforms and send calendar invites and programme agendas
Handle event logistics: venue booking, room preparation, AV and teaching materials, collaterals, corporate gifts and slides
Arrange AV testing and rehearsals with presenters and faculty, and support their training needs
Liaise with vendors, secretariats, venues and other stakeholders for smooth event execution
Assist with post-event work: teardown, archiving recorded events, sending training evaluation forms and submitting CPE points
Maintain databases for grants, CHISEL, CHILD knowledge management, the CHI INNOVATE conference, faculty membership and publications
Support content aggregation and curation on the CHILD system through outreach, reminders and liaison with ambassadors, submitters and reviewers
Keep CHILD content complete, accurate and updated, including indexing, assigning and uploading content and improving website information layout
Monitor CHILD system performance and provide timely updates
Support project management of Faculty & Publication initiatives and engage stakeholders for feedback
Act as custodian of the various CHI Walls and promote a culture of change and teamwork
Perform any other duties assigned by the Supervisor or Head of Department

Requirements
Minimum diploma holder
2 to 3 years of relevant experience
Comfortable working independently and in a team
Excellent interpersonal and communication skills, both verbal and written
Keen attention to detail
Able to prioritise workload, well organised and able to multi-task smartly and in a timely way
