About the role
You will oversee the maintenance and operation of M&E systems within an integrated facilities management setup for Marine Parade Community Services Limited. The role involves preparing reports, liaising with internal and external stakeholders, and supporting business activities through administrative tasks. It suits an organised and proactive person who can assist the Biz Development Manager in managing vendors for smooth project execution.
What you'll do
Oversee maintenance and repair of buildings, grounds, and equipment.
Develop a 3 to 5-year Forward Maintenance Plan and deliver it within time and budget.
Prepare and submit monthly reports, maintenance budgets, equipment life cycle costs, overhaul plans, and ensure cost-effective operations.
Identify and execute energy efficiency and sustainability initiatives.
Monitor contractors' performance to minimise system downtime and improve work standards.
Handle tenant requests, complaints, and rectification works.
Coordinate project and defect rectification works, ensuring compliance with relevant legislation and standards.
Ensure premises meet statutory and regulatory requirements and maintain regulatory documentation.
Monitor and manage A&A work, including handling and taking over units.
Ensure compliance with workplace safety and health policies.
Carry out failure and reliability analysis on major or frequent equipment failures and recommend prevention measures.
Establish SOPs for the hub and its operation.
Coordinate, set up, and attend major events and activities.
Coordinate and carry out property decoration for festive occasions such as National Day, Chinese New Year, Christmas, Deepavali, and Hari Raya.
Plan and control equipment maintenance budget and supervise team work performance.
Issue, prepare, certify, and endorse completed works for client payment.
Monitor vendor response to feedback and requests from internal or external parties, customers, authorities, and the public.
Record, track, and monitor ongoing and outstanding activities regarding maintenance of DDPs.
Support business and operations on administrative processes based on company policies.
Prepare reports, presentations, and documentation for meetings.
Plan and schedule routine and ad hoc maintenance and cleaning activities with internal and external parties.
Liaise with external vendors, suppliers, and clients for smooth business operations.
Organise and maintain physical and electronic files, records, and databases with accuracy and confidentiality.
Ensure full compliance with fire safety regulations and maintain fire safety systems, including emergency response plan, inspections, fire drills, and certification.
Conduct research and provide operations or administrative support.
Good to know
Night work could be required based on project requirements.
Requirements
Diploma or degree in Facilities Management or equivalent preferred
Preferably 5-7 years of relevant experience
Self-motivated and striving for excellence
Able to communicate effectively and work in a team
FSM certified with experience in fire safety management and knowledge of fire safety codes
Confident managing contractors and liaising with customers for reporting and administrative work
