About the role
This role oversees workplace operations, office facilities, procurement, governance support, ISO management systems and sustainability reporting. You will act as a key coordinator linking internal teams, service providers and regulatory bodies to keep the workplace effective, compliant and continuously improving. It suits someone with a few years of corporate services or facilities experience who is comfortable juggling administration, audits and ESG data.
What you'll do
Handle procurement of office supplies, furniture, equipment and workplace services following company policies
Source, assess and manage vendors and service providers for quality, cost and timely delivery
Track office operating expenses and support annual budgeting and cost management
Keep inventory records and asset registers for workplace equipment and supplies
Support contract administration, vendor performance reviews and service renewals
Oversee daily office facilities management to keep the environment safe, functional and productive
Coordinate maintenance, repairs, renovations, office moves and workplace improvement projects
Manage facilities service providers such as cleaning, security, pest control, office maintenance and building management
Ensure workplace compliance with safety, health, environmental and building regulations
Support business continuity and workplace emergency preparedness programmes
Drive workplace efficiency and employee experience initiatives
Coordinate and maintain ISO management systems including documentation, records and compliance
Support internal, external and surveillance ISO audits and certification renewals
Monitor corrective and preventive actions from audit findings and ensure timely closure
Facilitate management review meetings and maintain audit readiness across departments
Work with process owners to ensure ongoing compliance with ISO standards and corporate governance
Support policy development, process reviews and continuous improvement
Coordinate data collection and validation for sustainability reporting
Consolidate environmental, workplace, operational and governance performance data from stakeholders
Support preparation of sustainability reports, ESG disclosures and regulatory submissions
Track sustainability performance indicators and support initiatives aligned with corporate objectives
Collaborate with business units to improve sustainability data quality, reporting processes and governance controls
Assist in implementing sustainability initiatives and awareness programmes
Act as primary liaison with building management, service providers, auditors and external agencies
Build partnerships with internal stakeholders to support workplace and operational needs
Manage vendor performance against contractual obligations and service level agreements
Support cross-functional projects related to workplace, sustainability, governance and operational excellence

Requirements
Degree in Business Administration, Facilities Management, Building Management, Engineering, Sustainability, Environmental Management or a related discipline
Professional certification in Facilities Management, Sustainability, ESG Reporting or ISO Lead/Internal Auditor is advantageous
At least 3 to 5 years of relevant experience in office administration, facilities management, corporate services, workplace management, sustainability reporting or ISO management systems
Experience supporting ISO certification audits and management systems
Experience managing vendors, procurement activities and workplace operations
Exposure to sustainability reporting or ESG data management is advantageous
