About the role

This role provides administrative support to the Heads of Department at Village Hotel Katong. You will handle correspondence, purchasing paperwork and coordination between departments, and it suits someone organised who works well under pressure with little supervision.

What you'll do

Encode correspondence, reports and documents for the Heads of Department
Handle or screen incoming calls and walk-in visitors

Arrange meetings with various departments and clients

Raise purchase requisitions and monitor purchase-related items such as GRSA and capex progress across departments

Act as liaison between departments and the Hotel Manager, following up on pending documents

Schedule and coordinate appointments, meetings and events, including registration and travel arrangements

Assist with customer inquiries and problem resolution

Prepare management reports requiring input from all departments

Monitor guest reviews and staff compliments

Manage inward and outward hotel correspondence for timely receipt and dispatch

Set up and maintain Management Office correspondence files with confidentiality

Stock stationery and ensure office equipment is in good working condition

Support compliance with set guidelines

Take on other responsibilities or projects assigned by the Hotel Manager and Heads of Department

Requirements

At least 2–3 years of experience in a similar position at this level
Experience providing administrative support in a fast-paced, multi-task environment
Strong organisational, interpersonal and communication skills
Able to deal with internal and external contacts at all levels sensitively and professionally
Able to handle highly confidential information with discretion
Adaptable and resilient, able to work under pressure and meet tight deadlines with limited supervision
