About the role
This role provides full administrative support to the Global Head of Controllership, Finance Risk and Governance, keeping the office running smoothly and delivering a quality service to internal and external stakeholders. It suits an experienced executive assistant who is discreet, organised and comfortable supporting senior managers in a fast-paced banking environment.
What you'll do
Provide full administrative support to the Global Head of Controllership, Finance Risk and Governance, including travel, meeting and diary arrangements and tracking
Coordinate business activities and meet required standards for work volumes and deadlines
Handle ad hoc tasks for the Global Head of Controllership, Finance Risk and Governance
Act as the primary liaison contact point for the Global Head of Controllership, Finance Risk and Governance

Manage calendars and meetings fully and actively, including drafting responses on behalf, scheduling appointments and setting reminders
Track headcount and review costs
Help prepare and design PowerPoint decks for internal meetings
Provide cover and support during UK time zone when the manager is in the UK
Manage emails extensively, including checking incoming and outgoing mail and following up as needed
Maintain and update the travel planner to coordinate overseas trips
Coordinate detailed itineraries for overseas visits
Respond accurately to internal and external information requests
Administer HR self-service tasks such as holidays, sickness and team movement
Prepare claims for reimbursement of business expenses and administer invoices
Handle online purchasing and ordering administration
Process approvals for IT, HR, Finance, T&E, G&E and GDAM
Maintain confidentiality at all times given exposure to sensitive information
Maintain and update the Management Control file, including organisation charts, job descriptions, job objectives and delegation of authority
Uphold the highest standards of ethics, regulatory and business conduct, and comply with applicable laws, regulations, guidelines and the Group Code of Conduct
Maintain distribution lists
Lead through example and build appropriate culture and values
Report on security access
Identify, escalate, mitigate and resolve risk, conduct and compliance matters
Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures

Requirements
18+ years of experience in a similar role supporting senior managers and managing directors
Good working knowledge of Outlook, Word, Excel and PowerPoint
Comfortable dealing with multi-cultural and diverse teams
Responsive and meticulous attention to detail, particularly in documents
Reliable, discreet and diplomatic
